Short answer: work with a company that manufactures (not only trades) the fixed and loose FF&E, can show a mock-up room before production, has capacity measured in rooms per day, finishes in the factory, installs with its own teams, holds ISO 9001 for hospitality furniture, and can reference hotels similar to yours.
1. Manufacturer or supplier?
Some hotel furniture “suppliers” subcontract to several workshops. That multiplies colour, tolerance and schedule risk. Visit the factory and ask which items are made in-house: casegoods, doors, wardrobes, joinery, upholstery, metalwork. One factory for doors, rooms and loose furniture means one finish standard and one programme.
2. Fixed vs loose FF&E
Fixed FF&E (wardrobes, headboards, vanities, wall cladding, reception desks) is built to site dimensions and installed; loose FF&E (beds, chairs, sofas, tables) is delivered complete. Make sure the manufacturer surveys site dimensions before producing fixed items. See FF&E manufacturer.
3. Insist on a mock-up room
A full mock-up room built from shop drawings — approved by the operator, designer and consultant — is the most reliable way to catch dimension, finish and ironmongery issues before hundreds of rooms are produced. The signed mock-up becomes the quality reference for the whole run.
4. Materials that survive hotel use
Ask for the board grade and emission class, edge banding thickness, hardware brand and cycle rating, veneer or HPL specification, and the fire-retardancy standard for upholstery and fabrics that your operator or local authority requires. Contract-grade furniture is designed for daily use by many guests, not one household.
5. Capacity in rooms per day
A 300-room hotel delivered in phases over three months needs a factory that can finish several complete rooms a day while doors and loose furniture run in parallel. Ask for rooms-per-day capacity and how many programmes run at the same time. See hotel room furniture.
6. Installation, phasing and export
The manufacturer should deliver per floor to the site schedule and install with its own teams, or — for export to the UAE, Saudi Arabia and the GCC — provide numbered packing, installation drawings and supervision.
